Position Summary:

This position is responsible for ensuring that the clinical laboratory is in compliance with all accrediting and regulatory agency standards through application renewal of laboratory licenses, certifications, and accreditations; coordinates the laboratory-wide document control system maintenance in accordance with regulatory requirements and hospital initiatives; maintains documentation of laboratory personnel qualifications in accordance with regulatory standards; interacts with human resources, regulatory agencies, and medical and nursing staff to ensure efficient communication. Responsibilities may include assisting departments with meetings, scheduling, filing, answering phones, and all administrative functions.


Major Position Responsibilities:

  • Maintains a safe, clean working environment, including unit based safety and infection control requirements.
  • Document Control Responsibilities
    • Maintains all policies and procedures under secure document control system.
    • Uses Tri-City Medical Center’s document control system to upload and edit laboratory documents for 2400 policies and procedures utilizing appropriate standards, software and formatting guidelines.
    • Uses the document control system to generate annual reviews to be performed by laboratory leadership and personnel and reports of support processes.
    • Uses Word to manage policy and procedure document templates and changes; uses Adobe to convert all Word documents to PDF files for intranet upload and maintains the master files for all policy and procedure related documentation on a TCMC network-secured and backed-up system drive; provides requesting entities with duplicate copies.
  • Regulatory Compliance Responsibilities
    • Maintains qualification documentation for laboratory personnel, including, but not limited to, licenses, certifications, degrees, transcripts, training, and competency assessments in accordance with regulatory requirements.
    • Completes and maintains all regulatory documentation requirements including Laboratory Facility, Blood Bank and Biologics, Cytology Laboratory, and Tissue Bank licensing, and laboratory certification, inspection, and accreditation application materials within established timeframes.
    • Works continuously with laboratory personnel and management to develop, edit, archive, and maintain all necessary documentation for compliance with The Health Insurance Portability and Accountability Act of 1996 (HIPAA), Centers for Medicare and Medicaid Services (CMS) Clinical Laboratory Improvement Amendments (CLIA) of 1988, California Department of Public Health (CDPH) Laboratory Field Services (LFS), College of American Pathologists (CAP), U.S. Food and Drug Administration (FDA), California Occupational Safety and Health Administration (Cal-OSHA), and The Joint Commission (TJC) initiatives.
  • Administrative Responsibilities
    • Creates documentation as requested by pathologists, directors, managers, and technical specialists, in addition to various departments throughout the TCMC system.
    • Attends meetings to provide direct and indirect support of Laboratory Director, Technical Specialists, and Operation Managers.
    • Assists the Director, Manager and staff in daily activities related to the department.
    • Responsible for setting up meetings, answering the phones, and providing support to staff and customers.
    • Assists laboratory leadership team with special projects.
  • Organizational Responsibilities
    • Complies with Tri-City Medical Center practices, policies, and procedures. Abides by ethical standards as established in the Employee Handbook.
    • Develops and maintains effective communication and liaises with assigned staff, co-workers, physicians, and other hospital personnel, outside organizations or others who provide or receive laboratory services.
    • Maintains confidentiality of information deemed confidential.
    • Performs other duties as assigned.



  • Minimum of five years’ experience organizing multiple projects, including increasing responsibility in the preparation of technical and complex information, preferred.
  • Experience with Adobe, Microsoft Office Suite, and other related software, required.
  • Knowledge of or ability to master CAP accreditation standards, preferred.
  • Ability to type 50 wpm accurately; filing skills, required.
  • Two years clerical experience, required.
  • Must be capable of applying excellent judgment and communication skills to the job, required.


  • Bachelor’s Degree, preferred, in computer science, business, English, technical librarian, or related area. (Experience and technical training may be substituted.
