  • Overview

    Position Summary:

    Under the supervision and guidance of the Operations Manager, the Release of Information (ROI) Technician will assist the ROI Specialist with the day-to-day duties associated with the examination, retrieval, copying, and documentation of release of information requests in the Compass Request Manager.  


    Major Position Responsibilities:

    • Reviews and researches incoming mailed, faxed, and/or personal requests received for release of medical information from patients for physicians, hospitals, insurance companies, attorneys, government agencies, or other ancillary health care entities. 
    • Responses are to be within specific time constraints.
    • Enters each request for patient information into the Request Manager application in Compass.  Closes out each request in the system accurately upon completion within the timeframe requirements.
    • Pulls the correct patient information from either medical charts, microfilm, and/or microfiche. Assists the Specialist in working with copy services by making hard copy information available to copy service.
    • Verifies each request has a matching corresponding signature from either the patient, or legal representative.  Requests picture identification from customers before releasing documents.
    • Logs out completed requests to document completion as well as method of release.
    • Fills in for the ROI Specialist during vacations or emergency absences with ease and professionalism. 
    • Communicates to Specialist appropriately regarding any questions or problems concerning request completion.
    • Maintains and organizes work station so that retrievals are assured and misfiles are kept to a minimum.
    • Works with departmental team members and contract employees in a professional and courteous manner.
    • Efficiently utilizes the Compass medical record patient index, chart tracking, and other computerized department products that are used in the performance of all assigned duties.
    • Answers phones on a multi-line phone system and assists all customers promptly and proficiently with request, using interpersonal skills effectively to build and maintain cooperative working relationships in the MRD department, and all TCMC departments, following the Service Excellence Standards for TCMC.
    • Organizes submission and retrieval of charts to and from the off-site storage provider.
    • Receives/Routes copies of mail, faxes, and subpoenas for request of patient information, addressing necessary information upon receipt, and ensuring documentation is recorded on the Compass system.
    • Follows policies and procedures to contribute to the efficiency of the Medical Record/Health Information Department concerning patient confidentiality, and record location.
    • Performs related duties or projects as requested by Medical Records/Health Information Department management. 

    Safety and Infection Control Responsibilities

    Responsible to maintain a safe and clean work environment, including unit based specific safety and infection control requirements.



    • 1 year experience in medical records or business office setting
    • Familiarity with confidentiality/consent law requirements desired
    • Ability to concentrate and perform multiple job functions under limited time constraints with quality results.
    • Excellent communication and clerical skills.
    • Medical terminology preferred
    • Successful completion of Filing Assessment test
    • Fast and accurate 10-key data entry skills and intermediate computer skills; 35 WPM (typing test required)


    • High school diploma or GED required.  HIPPA and or Release of Information Training/Education preferred.
